Job Description
The Project Coordinator is responsible for assisting the Project Managers with the project coordination process, such as document management, data transfers and data entry. Perform essential tasks to support projects and/or day-to-day activities. This role tracks project deliverables, budget monitoring, deadlines, PO management, vendor payment.
Requirements
- Provide administrative support on all projects to Project Managers
- Collaborate with cross-functional teams to develop project plans and establish project goals and milestones.
- Monitor project progress and identify any potential risks or issues, providing timely updates and solutions.
- Conduct regular project evaluations and make recommendations for improvements to processes and procedures.
- Coordinate pending items from the Notice to Proceed Checklist by requesting outstanding items from Project Managers and vendors to bring Notice to Proceed (NTP) to final completion.
- Process site data/documents received from the Project Managers, check for accuracy, scan, upload, and file information into the company database in a proficient manner.
- Updates necessary tracking system(s) to ensure that project and/or program status is maintained with complete accuracy, including third party management systems.
- Ability to learn and use the client's systems such as but not limited to FUZE, Magenta Build, IWM, etc.
- Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness.
- Issue vendor POs, as needed.
- Update and manage all PO/Invoices trackers.
- Take on additional responsibilities and duties as assigned by the project manager or other senior team members.
Qualifications
- High School Diploma or GED required; some college helpful.
- Proficient in Excel, Word, Outlook, PowerPoint.
- A minimum of two year’s related project coordination experience along with strong database management skills including report creation.
- Intermediate to Advanced Excel skills.
- Well organized with strong attention to detail skills.
- Excellent verbal, written, and interpersonal skills.
- Ability to problem solve and “think outside the box”.
- Proactive and a strong sense of urgency.
- Ability to work in a fast-paced and changing environment and meet strict deadlines.
- Self-motivated with the ability to deal with a fast-paced, ever-changing environment with strict deadlines.

- Strong track record of building and maintaining solid relationships with internal and external customers and vendors
