A full service, mid sized firm is seeking an IP Docketing Administrator who is responsible for managing the U.S. Patent and Trademark docketing as well as the U.S. and foreign patent annuity processes. The Administrator works closely with attorneys, paralegals, foreign associates, and our third-party vendors to ensure all U.S. and foreign patent annuities and maintenance fees are processed.
This position is a full-time, non-exempt position based in the Boston office, reporting directly to the IP Manager, and offering the flexibility to work remotely two days a week. The normal business hours are 9:00 a.m. to 5:00 p.m.
RESPONSIBILITIES:
- Manages U.S. Patent and Trademark docketing process.
- De-Dockets on a daily basis by reviewing information provided for accuracy and completeness.
- Processes new U.S. and foreign applications into docket management system.
- Handles all incoming electronic and paper mail, faxes and courier packages and dockets any necessary deadlines.
- Enters newly incoming filing information into the docket and maintains the docket database ensuring that all critical docket dates are accurately recoded.
- Manages Docket Box and coordinates workload with off-site Docket Team.
- Creates docket reports for attorneys and staff, as needed.
- Reviews final deadlines and notifies attorney/staff via email to obtain information for completing non-extendable actions.
- Cross-trains in annuity management to make annuity and maintenance fee payments by utilizing our third-party vendor and corresponds with foreign associates with respect to inquires related to annuities and maintenance fees, as needed.
- Keeps the annuity docket accurate and up to date, including keeping track of those annuities in extension periods.
- Adheres to policy for entering time into Firm’s timekeeping system upon payment of maintenance fees and annuities in advance of accounting department’s deadlines, as applicable.
- Performs quality control audits on a regular basis to ensure the accuracy and timeliness of items entered into the docketing database.
- Manages intake of newly transferred in patent and trademark matters.
- Assists in conducting quality control review of prosecution documentation prepared in the IP Group prior to the transfer documentation leaving the Firm.
QUALIFICATIONS:
- Bachelor's degree preferred.
- 3+ years’ experience in U.S. and foreign patent and trademark docketing and a thorough understanding of the patent, trademark, and copyright processes.
- Experience with docketing software and data entry is required.

- Ability to work both independently and collaboratively with team members as well as attorneys and staff throughout the firm.
- Able to accommodate occasional overtime work.

Pay: $90,000.00 - $95,000.00 per year
