The Paralegal Assistant role is a great opportunity for individuals looking to break into patent law. The Paralegal Assistant will provide basic clerical, departmental support to the International Filing Department.
DAY TO DAY:
- Provides professional administrative and clerical support to the International Filing Department, including but not limited to, assisting with mailings, drafting emails, routing correspondence, and entering data into appropriate systems.
- Coordinates the distribution of all department related documents, foreign associate correspondence and virtual file maintenance, including confirmation of receipt of e-mail correspondence from foreign associates.
- Provides support for deadline driven correspondence mailings, filings with the World Intellectual Property Organization (WIPO), as well as correspondence with foreign associates and clients.
- Coordinates and processes foreign associate invoices to ensure timely payment.
- Sorts all incoming department mail and adds documents into the document management system and virtual file.
- Works closely with paralegals to prepare for patent office filings, this includes preparing correspondence as well as cost estimates.
- Reviews bibliographic data for published international applications for accuracy.
- Assists with a variety of other department related projects as requested.
WHAT WE ARE LOOKING FOR:
- BS/BA or equivalent experience required.
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a propensity to learn other software as needed.
- Team player and a willingness to take on additional projects and work.
- Strong attention to detail with the ability to manage and prioritize multiple tasks.
- Ability to adhere to established work schedule, but with flexibility required to respond to workload demands including overtime requests when needed.
- Strong time management, prioritization, problem-solving, and organizational skills, and the ability to work effectively in a high-pressure environment.
- Strong interpersonal skills and ability to work effectively with difference levels of constituencies.
- Punctual and reliable and able to meet set deadlines and work effectively under pressure.
- Ability to maintain confidentiality of matters and other firm business information.
LOCATION: Boston, MA (Hybrid)
The expected salary range for this position is $56,100 - $68,600 annually. Actual pay will be determined based on experience and other job-related factors permitted by law. Any offer of employment is subject to the successful completion of a background check.
